Effective October 1, 1997, the Federal Government mandated reporting of newly hired and rehired employees in all 50 states, Puerto Rico and the Virgin Islands . Such information must be submitted to the appropriate state agency within 20 days of hire. Although federal mandates define the minimum reporting requirements, each state can impose stricter guidelines.
For our clients' convenience, and unless instructed otherwise, Keystone Payroll automatically submits new hire information for all clients to ensure compliance with this mandate.
What is Required?
- New-hire reports must contain the employee's name, address and social security number and the employer's name, address and federal ID number.
- New-hire reports must be submitted within 20 days of hiring date, unless your state requires these submissions sooner.
- Penalties for non-compliance can range from $25 to $500 per employee.
How We Can Help:
- Keystone Payroll automatically reports new hires for all clients, unless otherwise instructed.
- The cost is $2.00 per reported individual.
- To ensure accurate and complete filing, clients provide the name, address, social security number, hire date and birth date of each new hire when submitting payroll.
- Clients need not contact us to activate this service. Only to decline it.
To decline, clients simply fax the New Hire Reporting Service Declination Form to an account representative at 814-234-3304.
